General Statement of Duties:
This position coordinates projects funded by the Healthy Homes Grant Program, balancing administrative, coordination, and light hands-on responsibilities. The role involves reviewing contracts and scopes of work, working with vendors and contractors, supporting individuals and families receiving grant-funded services, and ensuring compliance with grant requirements. The Special Projects Coordinator manages day-to-day tasks with both structure and flexibility, using organizational and communication skills to support successful outcomes. Additional support for organizational initiatives and special projects may be assigned as needed.
Qualifications:
The following knowledge, skills, and abilities are typically necessary to successfully complete the related duties of this position:
- Associate’s degree in Business Administration, Project Management, or a related field. An equivalent combination of education and relevant work experience may substitute for a formal degree. (High school diploma or GED required.)
- Experience in project coordination, contract or grant management, or a related administrative role.
- Strong organizational, multitasking, and problem-solving skills with the ability to adapt to changing priorities.
- Clear and professional written and verbal communication skills; ability to interact effectively with diverse individuals and partners.
- Proficiency in digital tools such as Google Workspace and Microsoft Office Suite; ability to learn and use new systems (e.g., Canva, ChatGPT) to support workflow.
- High level of accountability, reliability, and follow-through in completing tasks independently and collaboratively.
- Comfort with light hands-on tasks (e.g., installing grab bars, detectors, or AC units) and coordinating larger contractor-led projects.
Preferred Qualifications
- Bilingual proficiency in Spanish/English or ASL/English.
- Experience in grant writing, grant management, or public health–related programs.
- Training or experience in trauma-informed practices and working with diverse communities.

Pre-Employment Requirements
Employment in this position is contingent upon meeting all pre-employment and post-offer requirements, which include but are not limited to:
- At least 18 years of age
- Possession of a valid Oregon Driver’s License and proof of vehicle insurance
- Acceptable driving record for eligibility to be covered under the organization’s insurance for driving purposes (including the use of agency or personal vehicles for work-related travel)
- Satisfactory completion of required screenings and checks:
- Employment reference checks
- Drug screening for illegal substances
- Physical/functional exam confirming ability to perform all job duties with reasonable accommodations
- Abuse registry check, as required by state licensing and Medicaid program rules

Roles and Responsibilities:
Healthy Homes Grant Project Coordination:
- Process applications to the Healthy Homes Grant Program (HHGP), confirming the eligibility of applicants and alignment with the subaward parameters of the grant
- Track and report on grant spending and activity in coordination with the Admin and Finance Manager
- Coordinate HHGP awards with eligible individuals, including renters, homeowners, and landlords.
- Perform Home assessments in alignment with approved project goals
- Perform routine maintenance tasks and installation associated with the grant work, such as: installing grab bars; smoke and carbon monoxide detectors; air purifiers; and portable, wall, and/or window AC units.
- Ensure the office environment is clean, safe, and well-maintained.
- Coordinate with external vendors/contractors and awardees/landlords/homeowners for more extensive maintenance projects.
- Order, monitor, and manage supplies and equipment.
Administrative Support
- Participate as a staff representative at organizational events; including offering support for activities such as the annual fundraiser furnARTure, Studio art shows, and other special events
- Assist in the coordination, supervision, and completion of special projects to support organizational initiatives and priorities.
Cross-Functional Responsibilities
- Maintain accurate and organized records using the organization’s file naming conventions and digital folder structure.
- Uphold confidentiality and handle sensitive information with discretion across all tasks and communication.
- Complete assigned responsibilities in full, ensuring documentation is complete, accurate, and clearly labeled
- Contribute to a culture of continuous improvement by identifying challenges, documenting patterns, and supporting workflow development.
- Participate in professional development opportunities in coordination with Supervisor to build knowledge and skills.
- Demonstrate a commitment to diversity, equity, and inclusion through professional conduct, inclusive communication, and openness to feedback.
- Perform other duties as assigned.
Working Environment and Conditions
The work environment varies in this position. Roughly 85% of the employee’s time will be spent working indoors. Occasionally, employees in this position can expect to work outdoors. Indoor work may include a typical office setting, temperature-controlled with typical office equipment and working in people’s homes in delivery of grant services. Employees in this position may be subjected to extreme temperatures when work outdoors is required in winter and summer.

This position does not directly supervise any other positions.
Work Schedule
This position is classified under FLSA as an hourly non-exempt position and is subject to applicable wage and hours laws outlined by the FLSA for hourly non-exempt positions. Work hours and schedule are to be determined with Supervisor and will change periodically due to the functions of the position. This is a part-time, temporary position.
Pay: $18.50 – $25.00 per hour
